The Windsor Forest Frogs family of coaches, swimmers, and parents are committed to helping all of our swimmers achieve fitness, sound swimming skills, and the confidence that comes with them – in a fun, enthusiastic, and nurturing environment which fosters a life-long love of swimming.

Team membership is open to WF pool members ages 4 – 18, and is comprised of two basic levels:

Frogs and Tadpoles

Within each level, instruction/training is provided for a range of abilities, from beginners to year-round and championship level swimmers.  We value every member of our team, regardless of age or ability level, and strive to support the greatest level of success for each and every one.

Volunteers

Hosting a dual swim meet is indeed a “team” effort – it takes approximately 75 parent volunteers to effectively conduct a home meet!  There are many different roles that need to be filled – some require special training at the beginning of the season; many do not.  We need two volunteers for each position, so that each only has to work ½ of the meet (though you’re certainly welcome to do more!)  Below are descriptions of all the different jobs to be done – pick the one or two that feel right for you!  If we don’t hear from you about your preference, we will be happy to assign you to work where you’re needed most.  The number following each description indicates how many people the team should have for that position overall.

VPSU Certified Officials:

All of our starters, stroke and turn officials, and scorers need to attend a VPSU training session – even if you have filled these jobs before! We will need 2 starters, 8 stroke and turn officials, and 2 scorers to ensure that we can have all these positions covered for the season. The following VPSU training sessions have been set as of April 9, 2008:

Wednesday May 28 6:30pm QL Clubhouse Referee/Starter Officials Only

Thursday May 29 6:30pm Conventry Clubh. Referee/Starter Officials Only

Saturday May 31 9am Ford’s Colony Stroke and Turn/Scoring Only
      S&T Clubhouse

Tuesday June 3 6:30pm Windy Point Stroke and Turn/Scoring Only
      Clubhouse

Thursday June 5 6:30pm Powhatan Secon. Stroke and Turn/Scoring Only

Saturday June 7 9am Edgehill Clubhouse Coaches/Meet Directors (Mandatory
        Attendance for Coaches/Meet Dir.)

Monday June 9 6:30pm Two Rivers Clubh. Training TBD

Job Descriptions

Referee:

The official in charge of the meet; the final authority in all matters concerning the conduct of the meet.

Starter: (2)

The official who starts each heat of the meet.

Stroke & Turn Judge: (8)

Swim officials assigned by and working for the referee to judge the swimming conformance with the rules for the event being swum. Non-conformance, frequently referred to as “DQ” or disqualification, is reported to the referee.

Scorer: (2)

Determines official swim times from score cards, keeps track of team records, and submits meet results to VPSU.

Other Positions:

No special training required – we can teach you quickly before the meet or “on the job”:

Clerk of Course: (4)

Assembles all of the swimmers into their correct lane/heat and distributes deck cards to each swimmer.

Announcer: (2)

The announcer announces the upcoming events at the clerk of course’s request.

Sweeps Judge: (3)

Determines visual order of finish of swimmers for each race.

Head Timer: (2)

Supervises Lane Timers during meets, signals to Referee when Timers have cleared watches, maintains watches are in proper working order, and helps schedule Timers for all meets.

Lane Timer / Lane Recorder: (18) (3 per lane)

Uses a stopwatch to get accurate times for each swimmer. Reports to Head Timer. Additionally the timer who is designated as the Lane Recorder ( one of the three timers) will, besides timing, record all times for each race onto the deck card, and then give these cards to the deck runners.

Deck Runner: (4)

Collects deck cards from recorders after each event and deposits them at the scoring table.

Ribbons: (6)

Records swimmer times on the appropriate ribbons.

Concessions: (6)

Preparing and selling food to hungry swimmers and their families

Inclement Weather

VPSU league rules state that a decision to postpone a meet because of weather must be made at the meet site and shall not be made sooner than 30 minutes prior to the scheduled start time.  In general, no less than one-half or more than one and one-half hour shall elapse between the time a delay is called and a decision to postpone is made.  If agreement cannot be reached between the coaches and team representatives about postponement or the time that competition is to be renewed in the event of a weather delay, the Meet Director’s decision shall prevail.  Postponed meets shall be swum the next day unless circumstances beyond the home team’s control preclude it and, in all cases, swum within one (1) week.  Postponed meets are resumed at the point at which they were when swimming stopped.

Lightning:  Pool lifeguards, duly authorized pool management or the Meet Director may delay a meet for lightning or other safety factors.  The decision on when to resume a meet (if the lifeguard or pool management permits it) shall be finally decided by the Meet Director after consultation with coaches, VPSU team representatives and the meet referee.

Explanation:  One of the challenges of evening swim meets is the frequency of late-afternoon and evening summer thunderstorms.  Every summer, nearly every team has at least one meet that must be rescheduled.  Occasionally, meets must be rescheduled repeatedly because of a string of thunderstorms on successive days.

The VPSU rule attempts to balance the need to maintain the highest level of safety for the swimmer and the desire to minimize rescheduling and the considerable inconvenience it poses to families of the swimmers.  Because weather patterns on the peninsula can be very localized, (a severe storm on one side of town – clear skies on the other), and quickly changing, it was determined that the only way to really know if a meet can be held (or not) is to see what the weather is at the meet site, at the time of the meet.  Be assured that officials will closely monitor not only the skies, but weather radar as available through the weather channel and websites, to make the best decisions possible in as timely a manner as possible. If a meet is delayed due to thunder/lightning, please don’t leave until it has been officially postponed until another day, and the makeup day is announced.  Storms can move through an area fairly quickly.  We may indeed be resuming the meet after the storm has passed through and we will need our swimmers there to do so.  Almost every venue has a clubhouse or other safe area where we can wait out a storm – for those who prefer to wait in their car, we’ll send someone out to let you know what is happening once a decision is made.
